Job Title: Administrative Assistant/Chamber Benefit Plan Assistant
Objective: Serve as an assistant for all Missouri Chamber entities, performing a wide variety of administrative tasks to support the mission of the organization. Independently perform complex, varied clerical, data entry, database management and supportive bookkeeping duties.
Job duties:
- Responsible for administrative duties associated the Chamber Benefit Plan. This includes validating monthly participant spreadsheets, communicating with local chambers of commerce and providing membership verification letters. Also includes assisting the plan administrator as needed.
- Act as backup to the bookkeeper, utilizing the chamber database software to record accurate histories and other information relating to members and ensure its integrity to use the information for communication.
- Responsible for picking up mail from post office daily, processing midday mail and outgoing mail and packages, including new member boxes.
- Provide administrative support to the government affairs staff. This includes coordinating local chamber visits, assisting with PAC Golf Tournament, setting up meetings and transporting to/from the Capitol as needed.
- Handle all inquiries for Certificates of Origins and other affinity programs.
- Assist with answering incoming telephone calls.
- Responsible for transmitting daily check deposits and maintaining all records associated with deposits.
- Responsible for maintenance on the postage machine, supplies and monthly reports.
- Assist with coordination/execution/follow-up for meetings, conference calls and other events/programs as assigned by the Director of Administrative Operations.
- Provide ideas and solutions whenever possible that help the Missouri Chamber better accomplish its mission.
- Perform other duties as assigned.
Job requirements:
- High school diploma or equivalent
- Four or more years of office or clerical experience
- Proficiency in Microsoft Office products, including Word, Excel and Outlook
- Ability to learn new tasks quickly and willingness to work in a fast-paced environment
- Ability to foster an environment of positivity, collaboration, transparency, effective communication, trust and teamwork
- Exceptional problem-solving abilities, customer service, verbal and written communication skills
